Why builders must go digital in the back office

On site, builders are some of the fastest adopters of technology in the trades. Power tools, nail guns, laser levels, compact excavators, cordless everything. If it makes the job faster or easier, most builders are onto it straight away.

But off site? That is another story.

Mark Deacon, cofounder of Canibuild and one of the most quietly influential figures in Australian construction tech, calls it what it is:

“Builders are quick to adopt power tools on site, but they still treat their back office like it’s the nineties.”

In our latest episode of The Good Builder Podcast, Mark shares why the real productivity gains for builders are now found off the tools, and how smart operators are using digital systems to speed up quoting, improve professionalism, and win more jobs.



The back office is your real bottleneck

Walk onto any modern building site and you will see innovation everywhere. From robotic total stations to prehung door frames, time is money and anything that saves a few hours is worth the investment.

But for many builders, that innovation stops the moment you walk into the office.

Manual quoting processes. Endless site plans. Lost emails. Unreturned leads. Files saved to desktops or printed out and marked up with pen.

The irony is that the back office is where most builders are losing time, money, and clients.

According to Mark, who has worked with thousands of builders across Australia, New Zealand, the United States, and now local governments in California, the real edge in modern building is speed of execution. And that starts long before a shovel hits the ground.



Digital power tools for builders

Mark’s current venture, Canibuild, is an AI powered sales and quoting platform used by more than 80 percent of Australia’s largest residential builders. It allows clients to select a design, drop it on their block, and get a preliminary quote and site plan in minutes.

This is not about bells and whistles. It is about giving builders the tools to respond to leads faster, qualify jobs earlier, and give customers confidence that they are dealing with a professional.

“Some of our earliest clients did not have display homes or big marketing budgets,” Mark said. “But the experience they gave customers with Canibuild made them feel like the most professional builder in the region.”

Builders who were once taking a week to respond to quotes were now doing it in under 30 minutes. That meant more trust, higher conversion rates, and less time wasted on tyre kickers.



Why builders hesitate with tech

The hesitation often comes down to two things. Fear of change and fear of looking silly.

A lot of builders have been burned by software before. Systems that were clunky, hard to use, or required constant updates and training. Others just do not want to feel like they are getting dragged into a world they do not understand.

“You do not need to understand the AI or code behind it,” he said. “You just need to know what it does for your business.”

Every minute spent manually quoting, redoing plans, chasing down site info, or trying to find emails is time you are not spending closing deals, managing jobs, or leading your team.

And in a market where margins are tight and clients are impatient, that delay could be the difference between winning and losing the job.

“We built Canibuild because we saw builders drowning in admin, even when they were trying to grow,” Mark said. “We wanted to give them time back.”
